Welcome! We’re very happy you’re considering joining our Bucharest Tango Groove Marathon. To help create a safe, respectful, and joyful experience for everyone, please read the guidelines below. By registering, you agree to these Terms & Conditions.

1. Who Can Attend

  • The marathon is an adults-only event (18+).
  • By registering, you confirm that you will be at least 18 years old on the first day of the event.

2. Registration & Confirmation

  • Because space is limited and we strive for a balanced tango environment (leaders/followers), registrations are reviewed and accepted by the organizers.
  • Your participation is confirmed only after we receive your payment.
  • Please wait for the full confirmation email before booking travel or accommodation.
  • If payment is not completed within the communicated deadline, your registration will be cancelled.
  • Registrations are personal and non-transferable, unless the organizers explicitly approve a change.

3. Cancellation & Refunds

We understand that plans can change. Here is our refund policy:

  • 100% refund for cancellations before 15 January 2026
  • 50% refund for cancellations between 15–31 January 2026
  • No refund from 1 February 2026 onward (Any bank transfer or currency conversion fees are at the participant’s expense.)

If we must cancel the event (due to force majeure, new regulations, or any situation that makes the event impossible to run safely), we will refund the full participation fee paid. However, we cannot reimburse travel, accommodation, insurance, or other personal costs.

4. Changes to the Event

We may adjust elements of the event — such as the schedule, DJs, venue setup, or activities — if needed. We will always try to communicate changes quickly and clearly.

5. Respectful & Safe Environment

We care deeply about creating a warm and respectful atmosphere. By joining the event, you agree to:

  • Treat fellow dancers with respect and kindness
  • Dance safely and be aware of the shared space
  • Care for your belongings and the venue
  • Avoid any unruly, disruptive, or inappropriate behavior

Non-Harassment Rule

We have zero tolerance for harassment, discrimination, or any behavior that makes others feel unsafe or uncomfortable. If you experience or witness something concerning, please inform an organizer. We will take every report seriously.

The organizers reserve the right to remove any participant who violates this code, without refund.

6. Liability & Personal Responsibility

Tango is a physical activity, and you participate at your own risk. By attending, you acknowledge and agree that:

  • You are responsible for your own health and safety
  • The organizers are not liable for injuries, health issues, or personal damages
  • The organizers are not responsible for lost, stolen, or damaged personal items
  • You are encouraged to carry your own travel and health insurance

7. Photos, Videos & Media

We love capturing memories! By attending, you give us permission to take photos and videos during the event and to use them on our website, social media, and future promotional materials.

If you prefer not to appear in photos or videos, please let us know in advance or at check-in — we’ll do our best to respect your preference.

Only official photographers may take professional-level photos or videos. Please be discreet when taking your own photos or recordings to avoid disturbing dancers.

8. Data Protection (GDPR)

We respect your privacy. We collect only the information needed to manage your registration and communicate with you about the event.

  • Your data is stored securely and never shared with third parties except when legally required.
  • You may request access, correction, or deletion of your data at any time by contacting us.
  • By registering, you consent to the processing of your personal data for event-related purposes.

9. Force Majeure

In the case of extraordinary, unpredictable events — such as natural disasters, pandemics, extreme weather, political restrictions, or other circumstances beyond our control — the organizers may modify, postpone, or cancel the event. Refunds will follow the rules described in Section 3.

10. Right of Admission

We reserve the right to refuse or withdraw admission to the event if needed for the safety and well-being of the community.

11. Non-Profit Status of the Organizing Association

The Bucharest Tango Groove is organized by a non-profit association whose mission is to promote cultural, social, and artistic activities within the tango community. All event-related activities are carried out on a non-commercial basis.

12. Nature of Participation Payments

By registering and completing your payment, you acknowledge and agree that:

  • The amount paid represents a voluntary contribution that supports the activities, expenses, and cultural objectives of the organizing non-profit association.
  • The participation fee is not a commercial transaction for profit but a contribution that enables the association to cover event-related costs (venue rental, music, logistics, administration, etc.).

13. No Expectation of Profit or Commercial Benefit

Participants understand that their contribution:

  • Does not grant any ownership, financial interest, or profit-sharing rights within the association.
  • Is made solely to support the cultural and social initiative represented by the event.

14. Acceptance of Terms

By submitting your registration, you confirm that you have read, understood, and agree to these Terms & Conditions.
